IT Asset/ Project Co-ordinator.

The IT Resource Management personnel shall administer the loan and return of floating IT hardware/software items such as printers, desktop and portable computers, monitors, consumables, Desktop software media/licenses, etc.

  1. The IT Resource Management personnel shall maintain up-to-date loan records and provide relevant reports as requested
  2. The services under IT Resource Management shall include:-

(a) Procurement of small value spares and items as escalated by the Service Desk, based on the requests from the users. These activities include getting the required number of quotations, submitting the request for approval, liaising with the suppliers for the delivery of the items, etc;

(b) Keep track of the items in the IT Store, and release the items, as and when requested by the users and approved by the representative;

(c) Liaise with the representative’s service providers for the movement of IT assets – from the IT Store to the user departments and vice versa, or between the user departments;

(d) Updating of the asset records in IT Asset Management system, based on the movements of assets initiated by the IT Resource Administrator, and also as reported by other Contractor’s teams (Technical Support, System Administrators, ServiceDesk, and DC Operations);

(e) Updating the specific fields in the Finance Asset Management system, to indicate the current location and owner of the asset (this is required for the Asset Audit conducted by the Finance department in the NLB);

(f) Obtaining the quotations for the repair of IT items, and liaising with suppliers and other IT teams for completing the procurement cycle;

(g) Alerting the NLB representative when the stock of certain IT items are of below a pre-defined threshold;

(h) Assist the Contractor’s teams and the representatives during the various stocktaking exercises.

4.  The IT Resource Management personnel shall assist in the administration of all hardware and software contracts which shall at least include: -

(a) Notifying the representative at least three (3) months in advance on renewal of existing hardware and software maintenance;

(b) Notifying the representative at least six (6) months in advance on the expiry of new hardware and software warranty;

(c) Obtaining renewal notices of the hardware and software maintenance which are expiring or due for renewal from the relevant suppliers at least three (3) months in advance; and

(d) Updating and maintaining the Contract Master List.

(e) Recommending actions where contract obligations are not met; Recommending termination of obsolete hardware and software;

5. Billing Verification when the invoices are submitted from the various vendors before submission to representative.

 

2) Other Pre-requisites

- At least 3 years of working experience in a similar operation

- Some basic knowledge on accounting as the job functions involves bill verification etc.

Must be meticulous, firm, and decisive and possess high integrity

Possess good interpersonal, communication and coordination skills

Able to correspond with external parties and internal staff

Possess basic computer skills in Microsoft Word and Excel

IT Sales Support Admin

 

Sales Admin from IT industry/ sector doing Division Administrative Support to Project Team, example:-

  •  Provision of Division Administrative support to the BD Managers/ Directors
  • Raise Internal documents to request Management approval (new purchase IT assets/ write off & assets/ create new vendors/ purchasing form/
  • Maintain a tracking record on notebooks assigned to respective staff. Send notebook for repair (intermittent problem) and arrange the date & time for collection.
  • Perform clearance for any staffs upon resignation to ensure all item(s) are return to necessary department.
  • Update and consolidate Database/ Master records for all deals for future reference.
  • Maintain a clean and updated documents filing
  • Assist in the tender response process which include collation of tenders, monitor and track submission of tenders/ ITQ
  • Responsible to track PO, maintain and track log orders and preparation of cost sheet
  • Work with internal department to log sales cost sheet, maintain stock records, coordinate on delivery and help in small buy requirements.
  • Ensure all services, good delivery, billing maintenance are completed upon closing the projects.
  • Maintain and update all warranty and maintenance contractual records
  • Check for outstanding sales order and billing.

 

  • Minimum Diploma with IT preferred
  • Relevant working experience in Sales Administration is a MUST or support function in a dynamic team at least 5 years
  • Good working knowledge in MS Office Application
  • Possess a high level of maturity with excellent organizational skills
  • Positive attitude with customer service mindset, ability to work in a team and positive attitude
  • Good verbal and written communication skills
