Job Description
Coordinator and generator of documentation (RFIs, Submittals, Memos, Transmittals, Purchase orders, Subcontracts, Change Orders) and associated monitoring required for scheduling delivery of materials, equipment tools and safety accessories and mobilization of subcontractors for Project Superintendent. Verify submittals for accuracy, identify any discrepancies, confirm final drawings, inspect materials installed match shop drawings and contract documents and identify any changes on the “as built” drawing during closeout process.
Responsibilities
1. Actively assist the Project Manager in managing the budget on each project and develop scenarios which enable the budget to be achieved.
2. During all phases of the project, responsible for studying the plans and specifications, setting up project files and maintaining all copies of plans and specifications while ensuring appropriate distribution of copies to field offices. In conjunction with other staff members, anticipate any deficiencies and take steps to correct.
3. Contact subcontractors to inform them of upcoming bids. Distribute plans, specifications and addenda to subcontractors. Ensure subcontractors have adequate certificates of insurance prior to allowing them to start project.
4. During all phases of the project, responsible for creating and tracking logs for submittals, transmittals, requests for information, shop drawings and plan distribution.
5. Confirm all materials are in compliance with drawing and specifications. Ensure all materials and equipment deliveries are on target as planned.
6. Exhibit strong communication skills by maintaining good working relationships with subcontractors, vendors, architect, engineers, other associated entities and management.
7. Prepare, submit and track all Requests for Information.
8. Administer quality control in monitoring progress to ensure that the project is following plans, specifications and approved submittals. Confirm current plans are being used on site, monitor receipt of materials received on site and work with superintendent on project safety. Administer quality control and safety program on respective project.
9. Maintain all communications with architect/engineer, keep notes on all conversations with entities involved with project, file all correspondence in project files, assist in preparation of reports and attend any meetings as required by Project Manager.
10. Responsible for all close-out procedures including O&M manuals, as-builts, warranties, keys, extra materials, etc.
11. Record and distribute meeting minutes.
12. Assist with estimating- perform quantity take-offs, review subcontract and supplier quotes for accuracy.
13. Generate work plans, safety plans, and storm water pollution prevention plans.
14. Document job site activities including pictures of progress.
15. Develop and maintain project schedules.
16. Carry out any other assigned tasks given by Project Manager, primarily and Superintendent, secondarily. Requirements Qualifications
1. Bachelor Degree or equivalent experience in related field.
a. Preferred Degrees: Construction Management, Mechanical Engineering or Civil Engineering
2. Possess strong verbal and written communication skills with all levels of employees and management.
3. Exhibit leadership skills and abilities.
4. Previous relative work experiences in construction management (a plus).
5. Working knowledge of Microsoft Office, Internet, Primavera and MS Project is encouraged.
6. Flexible, well organized, detailed oriented and multi-tasked.
7. Work 50+ hours on a regular basis or as required.
